Small Parties and not showing up being registered

Just arrived home from Edison. (that was just great btw) and was looking at the list of persons who arrived and noticed that there are ppl that did not show up.

I think this is really a shitty thing to do.. if you do know the party have a limited number of visitors and you have registered. HOW hard can it be to send a message the the ppl behind the party and say "Sorry, but I cannot come" you don't even have to say why.

so other persons who maybe want and CAN come but thinks the party is full as the list is full.


So please for everyone: why not just tell the orgas, lettng another person in instead?

How many parties have a limited capacity though? Is this a common problem?

i somehow doubt this ever was a problem... there have always been people that were registered that didnt show up - and also people who showed up but didnt register.

Speaking as a small party organiser this is fairly common; but often this is counterbalanced by people who didn't register showing up so it's not that big a deal.

encouraging visitors to prepay their ticket kinda helps avoiding attrition and helps getting better estimates of who will truly show up. apart from having cash flow ahead of the start of the party.

The issue is about parties that have a limited capacity, like Datastorm or Payback(?) used to have.

What Maali says is true. We don't have the problem described above at Outline. This year, 90% of Outline visitors prepaid their tickets and we had very few people on the list who didn't show up.

We will definatly try to have some kind of pre paid solution next year. To be fair, i didnt put alot of effort Into reminding people to unregister themselfs. Im still amazed over how good edison turned out this year. Everything ran smooth, no problems what so ever accept the traditional compo delays and last minuter hand ins. Perfect atmosphere and the place really felt packed. A rough estimate, around 130 visitors including orgas and others. So not bad at all, even though some people didnt show up.

for small parties. I stil think this is a problem. there are a lot of costs arranging a party. and a "no show" that stopped one who actually wanted to show up, is less money to the orgas. making it maybe it all go to a minus.

so. it is not hard to tell the orgas "sorry but. no" so the space can be free. so they maybe get ONE more person going.

it just usually takes one mail. taking like? 30-60 seconds to do? so.. DO that.. help the orgas getting things worth doing!

Chucky: In the case of parties with an actual attendance cap, yeah, I can see how it's a problem, but for parties with flexible attendance I think most organizers make an educated guess on how many people they need to break even way before signups are even opened, so I don't think it's a huge problem.

I think the number of registered people not showing up and people showing up but arent registered usually evens out pretty good, so from a financial point of view this isnt a huge issue.
But yeah if you have the luxury of making a popular party which you know will hit the locations capacity-limit prepaying for tickets surely is a good idea.
Having that said, we did have a few people buying a ticket in advance and still didnt show up (hi gman!)...

Twice we've been close to or at capacity for Solskogen (once at the old venue in Kroer and two years ago at the new venue in Flateby). Both times it was a lot of people that just showed up out of the blue. That is of course great, but as an organizer I wish as many people as possible would pre-register (especially for Solskogen since we include a free BBQ feast for all in attendance, and the pre-register numbers is what we use to estimate how much food to buy :).

Oh, and I forgot: we did manage to fit all those people in both instances, but some did have to make do without a computer seat.

Some background information: In the case of Edison there was a 160 visitor cap that was filled, because any more visitors than that and they simply can't fit. Also there had to be a strict preregistration requirement because that's mandatory if you're going to sell alcohol without a special license and have trained guards and stuff (Swedish law). I think 110 paying visitors showed up in total. Not sure if there was ever a waiting list of people who wanted to come but couldn't.

at TRSAC (which is by the way 21st to 23rd October) we technically have a seats-limit of 150 people. However we do exactly like Solskogen - we offer a sound benefit for signing up: you dont get to preorder the DELICIOUS AND ALSO VERY CHEAP FOOD if you dont, which means you have to provide food for yourself. In Denmark. Also the only ones with a guaranteed seat are the presign-ups which means that you really should just preorder.

I dont think its a big problem either, and it all comes down to people being forgetful rather than disrespectful - I have signed up for parties (on facebook or on their website etc) and then forgotten all about it later just to have the party roll around and be like "oh.. is Function now? well fuck me.".

An idea could be to have a confirmation-thing, that you need to do to "claim" your spot at a party with limited size and no preorders, but to be honest that would just mean that a lot of people who wanted to go forget to confirm and you have the opposite, and I suspect slightly bigger problem.
